Describe the object before describing the journey
Big Art Partners recommends an object packet identifying the exact sculpture or components, current location, dimensions, documented weight, materials and condition. Ask the artist or custodian for handling and disassembly information, distinguishing confirmed instructions from assumptions. Photograph the work and any existing crate, with labels connecting components to records. Mark information requiring specialist verification before a transport quotation can be reliable. Describe collection and delivery contacts as well as the proposed dates. Keep the packet focused on the physical object being moved; another edition or an earlier installation may have different requirements.

Plan every transfer, including the quiet ones
Getty’s transportation research examines shock, vibration, temperature and humidity during movement between institutions. Its scope includes end-to-end handling and separate truck, airport and airplane segments, rather than treating transit as a single uniform environment. [1]
BAP recommends mapping collection, packing, loading, intermediate storage, unloading, unpacking and positioning as separate tasks. Ask the art handler and conservator which stages need particular controls or monitoring for this object. Confirm who receives the work at each point and what happens if a delivery is delayed. Give the team the actual proposed itinerary so it can identify gaps, unplanned transfers or a storage assumption that nobody has accepted.

Connect packing design with the complete route
Getty preparator Rita Gomez describes anticipating an artwork’s movements throughout a loan and coordinating packing and crating with registrars. Her account includes escorting a mounted Maya limestone stela between museums and returning to help repack it. [2]
BAP recommends asking the appointed specialists to determine the packing approach and the information they need from the artist. Arrange access checks at both ends, including loading areas, doors, lifts and the route to the final position. Have the team confirm whether packed dimensions fit that route. Document where reusable crates and packing will be stored during display and who pays for retrieval. Keep lifting methods and equipment selection with the responsible qualified team.

Quote the return and removal while planning delivery
Sculpture by the Sea’s Bondi 2025 terms assigned artists outbound and return transport and asked interstate and international applicants to investigate both journeys. Selected artists also had to provide plans for freight or storage after the exhibition. [3]
BAP recommends requesting quotations that identify included movements, waiting time, packing, storage, attendance and exclusions. Compare the same scope across suppliers. Ask the owner, carrier and their advisers to confirm the agreed insurance arrangements and documents before dispatch; a transport price alone does not resolve those questions. Keep any international customs requirements with the relevant broker and parties. Reserve a decision date for the return destination rather than leaving it until the closing week.

Record condition and close each handover
BAP recommends agreeing who photographs and records condition before packing, on arrival and after installation, and how exceptions are escalated. Give each transfer a dated receipt linked to the object and component inventory. Ask the responsible parties to specify the response to visible damage, a missing part or a mismatch with the packing instructions. Avoid improvising a repair to protect a schedule. At completion, retain the transport records, approved packing instructions, condition reports and unresolved actions together. Review the move with the artist and handler so the next journey starts with better information about this particular sculpture.
