Start with a record of the work as received
Big Art Partners recommends beginning with a dated condition record agreed by the artist and receiving host. Describe the actual materials, finishes, component locations and intended appearance, including any deliberate weathering. Link photographs to a simple component map so future staff can repeat the same views. Ask the artist to distinguish normal change from a reason to seek advice. Record inaccessible areas and missing information instead of describing the work as being in good condition without qualification. Use this baseline to brief the care team before opening, and keep the original record when later inspections add new observations.

Assign the work and the budget together
Boston’s conservation program develops a maintenance plan for each artwork, identifying treatments, responsible parties and financial obligations. The city describes preventive care by qualified professionals and collaboration with conservation partners and community groups. [1]
BAP recommends turning care instructions into a responsibility table: task, person arranging it, person performing it, approval needed and funding source. Include the facilities manager who controls access and the contact authorized to speak with the artist. Separate routine observation from specialist treatment. Confirm who can order work when the main contact is absent, and who retains the records after a staff change. Ask each named party to acknowledge its role.

Ask specialists to define the treatment boundaries
Getty’s outdoor painted sculpture training addresses decisions about coating failure, local treatment versus full repainting, application methods and coordination with artists’ estates and paint professionals. Its published program treats these as conservation decisions requiring specific expertise. [2]
BAP recommends asking the artist and conservator for written instructions suited to this artwork, with permitted actions, prohibited products and the circumstances requiring referral. Do not turn a material label such as bronze or painted steel into a generic cleaning recipe. Give site staff a short observation sheet and a clear reporting route. Request a demonstration or training session where the host is expected to perform agreed routine work.

Inspect the artwork and its surroundings
Seattle’s spring 2026 conservation update reports that vegetation growth near Julia Harrison’s Madrona Meeting contributed to biological growth on its cement surfaces. The same update describes structural inspection and timber repairs at Sue and Peter Richards’ Blanche. [3]
BAP recommends setting inspection timing with the responsible specialists and site team, using the work’s condition and setting. Include nearby irrigation, vegetation, drainage, site furniture and ongoing construction in the observation record. Photograph changes from agreed viewpoints and identify the observer. Arrange a prompt review after an incident rather than waiting for the next routine visit. Keep observations separate from diagnoses; a staff photograph can support a specialist’s assessment without substituting for it.

Keep the plan useful after the first year
BAP recommends reviewing completed tasks, incident reports and actual spending with the owner at a scheduled annual meeting. Update contact details, supplier references and access arrangements, retaining the previous versions. Ask the artist or appropriate specialist to review proposed substitutions before treating a discontinued component as interchangeable. For major work, record the reason, authorization, treatment documentation and resulting condition. Include a decision route for temporary closure, relocation or eventual removal, with the relevant parties determining what approvals are needed. End each review with assigned actions and dates so the maintenance plan remains a working document.
