Agree the record before completion approaches

Big Art Partners recommends agreeing the handover contents while the project is being scoped, with a named person supplying and accepting each item. Establish a stable artwork identifier, title, artist credit, site and installation date. Separate the public interpretation record from the operational file, and agree who may access each. Include the project’s approval record, artist intent, as-built information, care instructions, condition documentation and relevant permissions. Set review dates before the opening so missing information can be resolved while the delivery team is still available. Keep a clear list of outstanding items rather than calling an incomplete folder complete.

Document the work that was actually installed

NYC’s March 2025 artwork-installation checklist calls for fabrication drawings of the as-built artwork at final review. It also requests photographs of the completed work from multiple viewpoints, including details. These are requirements of that city’s review process. [1]

BAP recommends labeling final drawings and distinguishing them from earlier proposals. Photograph overall views, connections, component labels and features that future teams will need to recognize, with the artist and relevant specialists advising on coverage. For moving or interactive work, add a record of intended operation where useful. Link the images to a plan or component list, with dates and photographer credits, and record any areas not documented.

Preserve material and finish information

Getty’s original painted-surfaces project explains that photographs may not reliably preserve color, gloss and texture information. Its paint-coupon repository provides physical references for conservators in consultation with artists’ studios, foundations or estates. [2]

BAP recommends asking the artist, fabricator and conservator what material specifications, approved samples and process records should be retained for this work. Label physical samples and identify their storage location, custodian and relationship to the finished surface. Record approved substitutions made during production. Avoid treating a product name or a photograph as a complete treatment instruction. Ask the responsible specialist how future teams should verify an equivalent if the original material becomes unavailable.

Transfer care knowledge to the people using it

Winnipeg Arts Council’s guide describes a maintenance manual covering materials, finishes, cleaning, preservation, drawings and care instructions. It states that the city refers to this manual for day-to-day maintenance after the artwork is accepted. [3]

BAP recommends a handover meeting with the receiving facilities team, artist and relevant specialist. Walk through routine observation, reporting, access and any agreed servicing procedure. Ask the receiving team to locate the instructions and explain the escalation route in its own words. Keep passwords or sensitive system details in the host’s approved secure system, with the general record pointing to the custodian. Record training attendance and unanswered questions.

Make the archive survive staff and system changes

BAP recommends storing the accepted packet in the owner’s managed records system, with a backup and a named custodian responsible for updates. Include a readable index and ordinary viewing formats alongside specialist source files where agreed. Test that another authorized staff member can open the records without the original project manager’s account. Record photography, publicity and reproduction permissions as supplied by the relevant parties, keeping unresolved uses open. Add future inspections, repairs and relocations as dated records without overwriting the original handover. Schedule a periodic check that contacts, links and file access still work.
