Identify the exact work and the proposed lender
Yountville’s published Art Walk terms request each work’s title, dimensions, weight, medium, construction date, maintenance instructions and sale price. They also distinguish completed artworks from concepts and require the delivered sculpture to match the submitted photographs. This is a useful example of object-specific intake. [1]
Big Art Partners recommends starting a loan file for the exact edition or physical object. Record its current custodian, proposed lender, location and requested display dates. Ask the lender to confirm authority to arrange the loan, availability for the whole period and any representation commitments. Treat a directory photograph as a research reference until these questions are answered.

- BAP deliverable: an object sheet with a dated availability confirmation.
Document condition before arranging the move
BAP recommends a shared baseline record before shipment: dated overall photographs, close views of vulnerable areas and a description of existing wear or repairs. Ask the artist or appropriate specialist which components can be handled, disassembled or exposed outdoors. Agree who records condition at collection, delivery, installation and return, and who receives an incident report. For an interactive work, include the intended operation as well as its appearance.

Cost both journeys and assign installation roles
Solana Beach’s published temporary-art guidance assigns artists transport to and from the site and any specialty installation equipment; the city’s Public Works crew assists with installation and removal. This example shows why an offered stipend should be read alongside the work and costs it is meant to cover. [2]
BAP recommends separate outbound, installation, removal and return lines in the placement budget. Ask every supplier to identify exclusions, storage assumptions and the person receiving the work. Compare the actual sculpture with the proposed site rather than assuming that an existing plinth fits. Ask the relevant professionals to resolve handling, attachment and site requirements before fixing the installation date.

Resolve the exhibition terms in writing
Boston’s loan policy considers availability, condition and fragility when deciding whether to lend collection works. For its outgoing loans, the borrower bears packing, transport, handling and insurance costs for transit and exhibition. These are Boston’s terms, illustrating the need to read each lender’s actual conditions. [3]
BAP recommends sending an issues list to the host, lender and their advisers: loan dates, permitted location and use, payments, care, insurance arrangements, incident handling, photography permissions and any proposed sale during the exhibition. Record who approves changes or early removal. Keep the physical loan and any later purchase as separate decisions in the project record.

Plan the final day before opening day
BAP recommends booking a return-planning review when the loan is agreed, with enough lead time for transport quotations and host decisions. Name the person who decides whether to seek an extension, confirm its funding and document the lender’s response. At closeout, collect return-condition records, delivery acknowledgement and any site-restoration notes. If the work is being considered for another venue, make that a new placement review with the receiving host rather than allowing the destination to remain undecided.
