Translate the call into an application checklist

Denver’s historical 2024 Performing Arts Complex RFQ requested six images of previous work, a résumé and a statement of interest. Site-specific proposals belonged to a later, paid finalist stage. These were the requirements of that particular call. [1]

Big Art Partners recommends reading the current call before selecting images. List eligibility, requested material, file limits, questions, submission method and deadline with its stated time zone. Distinguish a qualifications package from a proposal request. Save the call and any official clarification with the application. If a requirement is unclear, prepare a precise question for the organizer before the stated question period ends; do not assume that a previous application uses the same rules.

Select work that demonstrates relevant decisions

BAP recommends choosing projects that reveal how you think and deliver, rather than simply assembling the largest works in your archive. For each candidate image, identify what it proves: composition at a distance, material detail, public interaction, site response or collaboration. Use an overall view to establish the work before adding a detail when space permits. Include modestly scaled work when it explains a relevant idea or skill. Describe it at its actual scale. Keep unrealized proposals clearly labeled, and include them only if the call allows that kind of material.

Make captions and team roles unambiguous

Portland’s April 2026 Plaza Projects call requested an image or documentation identification list with titles, dates and project descriptions where appropriate. It also asked artist teams to explain each collaborator’s contribution. The call is a historical application example. [2]

BAP recommends maintaining a master caption record with title, date, medium, dimensions, site, commissioner where confirmed, photographer credit and your role. Distinguish design authorship from fabrication, installation and employment within another studio. For a team, agree how shared projects and individual work will be credited before submission. Use concise factual captions to give the panel context, and keep the statement focused on artistic interests and the specific opportunity.

Test the actual submission files

CaFE’s work-sample guidance specifies image formats and size limits, requests artwork details including alternative text, and notes that individual calls may not accept audio or video. Its portfolio upload is a separate step from attaching samples to an application. [3]

BAP recommends exporting files for the current platform requirements and previewing them at the size a reviewer will see. Check legibility, orientation, color and the order of images. Play every permitted media sample from start to finish and confirm that any external link works without a personal login. Give each file a clear name. Preserve original documentation separately so later applications can use different crops or formats without degrading the source.

Perform a final review and preserve the receipt

BAP recommends asking a reader unfamiliar with the work to explain the practice back to you using only the application. Revise any caption or statement that leaves authorship, scale or relevance unclear. Check that the résumé, statement and images describe the same team and that references have agreed to be listed. Submit with time to resolve technical problems. Retain the submitted version, confirmation and official correspondence. After the result, record any feedback and improvements for the next call without rewriting the historical submission. Use that archive to make future applications more accurate and efficient.
